How long projects are kept
Open jobs stay as long as you do. Finished ones are kept three years, with notice, and you can keep some longer.

Steps
- A project that is still running is never removed. The clock only starts when you mark it substantially complete or retainage collected — whichever you set last — or when it has had no activity at all for three years.
- Two years after that, the project and its documents and photos are removed. The account owner and admins get an email at least 60 days ahead, and the project is flagged in the app, so there is time to export it.
- Export any project in full from its header — every table, the pay apps as PDF and Excel, the schedule, and every file — and keep the ZIP with the rest of the job records. Public work usually requires you to hold records longer than three years; the export is how you do that.
- Need a finished job in CivilVault longer? The account owner can mark a limited number of completed projects to keep — 10 per PM seat on the plan.
Good to know
- Removed projects cannot be restored, and share links to them stop working.
- Closing the account, or leaving a cancelled or expired account unused for 90 days, removes everything after notice.
